Kjarval ehf., ID no. 670418-0140, operates Vinnustofa Kjarval - an office and meeting space, coworking- and social platform in downtown Reykjavik, Iceland - hereafter referred to as Kjarval.
Kjarval is located in the heart of Reykjavik city, with magnificent views of the city center and its surroundings. Kjarval is particularly well-suited to meet clients and colleagues for or outside work, cultivate relationships with others or work in privacy.
Kjarval covers about 700 square meters on the two top floors of adjacent houses no. 10a and 12 in Austurstræti. There is a spacious balcony to both south and north. Kjarval offers good facilities for meetings and gatherings and drinks and food in collaboration with nearby restaurants. Great emphasis is placed on guests enjoying privacy if they choose and mutual respect.
These house rules were updated on March 1st 2024, and all customers, their guests, and staff must follow them. Their goal is to ensure the quality of service and maximize customer satisfaction.
Individuals and businesses can be members of Vinnustofa Kjarval, provided that the parties sign an agreement to that effect. By signing a contract, the user agrees to these terms/rules of the place.
The customer receives an access card(s) in line with the provisions and specified number in the contract. Each access card is assigned to a person who gets the card for installation on their telephone. The customer has access to Vinnustofa Kjarval, open areas, meeting rooms, and restaurant facilities during the studio's general opening hours. Each access card is for the person registered on the card only.
Membership is for a minimum of one year and renewable after that on an annual basis. If a customer wishes to terminate his membership, the termination must be done in writing and with three months' notice. Termination is based on the end of the month.
Kjarval is open to members and their guests during normal business hours.
The opening hours may change depending on circumstances. However, the workshop shall be open fora minimum of six days a week. Information on opening hours is available on www.kjarval.com.
Kjarval may be closed 15 times a year for private events.
Booking of the meeting rooms is made via www.kjarval.com and the Skedda booking app that members install on their phones. If a meeting room is available, you can book it without notice. If the customer wants to ensure access to a specific space at a specific time, it is appropriate to book the space at a good time. When booking meeting spaces, the number of guests should be considered, so small meetings are not held in large rooms.
To ensure good utilisation of meeting rooms, make cancellations easier, and ensure the equality, the following rules apply to the use of meeting rooms:
• Each member can book a meeting room for a maximum of 8 hours per week.
• The booking is automatically canceled 15 minutes into a meeting if the meeting members have not arrived.
• Members can only book one meeting space at a time.
• Members can only book a meeting room for themselves, and not friends, spouses, co-workers, or others.
• Members who pay for one membership only do not have access to the larger meeting rooms (with capacity for 7 persons or more) in the booking system but can send an email to [email protected] when a larger meeting room is required.
• Kjarval Social members do not have access to the booking system but can book both meeting roomsand private office spaces for an additional hourly rate, as per the pricing guide.
Kjarval stores customer information – names, emails and phone numbers in a database to ensure continuity of service and customer satisfaction.
Kjarval can send newsletters and other information electronically to members, including information on additional services or offers. Members can reject such mailings and unsubscribe from the mailing list.
All processing of personal data is in line with the Act on Personal Data Protection and Processing ofPersonal Data (No. 77/2000)
Membership fees are collected monthly with electronic invoices, due on the 1st of each month. A member who pays with a credit card is charged on the 26th of each month for the coming month. Members can pay membership fees in advance, quarterly, or annually.
If a member does not pay an invoice within 30 days from the given deadline, he can not access Kjarval until overdue invoices are paid. In the event of termination of a membership contract due to non-compliance, the client shall reimburse an amount equivalent to the traditional notice period, according to Art. Article 1 of these terms/house rules.
Members can put purchases on their bills if they provide a credit card to secure the payment. The member is responsible for informing Kjarval about credit card changes if they occur.
Settlement for purchased goods must be finalised before members leave the house, either with a signing of an invoice or direct payment.
If a member leaves the house without paying for goods Kjarval will collect the debt. Such actions may result in extra costs for the member. Repeated failure to settle a bill before leaving may result in termination of membership.
Members set up an electronic access card to Kjarval on their smartphones upon registration. The card is only intended for the registered user, who is forbidden to lend the card/phone to others for use. Kjarval employees may ask guests to present their access cards and/or ID at the entrance or during services.
We encourage members to report any technical problems using the access card, e.g., by e-mail to [email protected] or verbally to the employees. Staff will assist as needed.
Kjarval cares about the safety and well-being of members, other guests, and employees. Security cameras are located at the entrance and in open spaces to secure appropriate surveillance and protect the interests of Kjarval's customers.
Electronic monitoring follows the Icelandic Personal Data Protection Act (No. 77/2000). We protect our members' privacy by all means, and we expect all guests to show each other mutual respect. Photography of members, their guests, and Kjarval employees is not allowed.
Each member can invite up to five guests to Kjarval at any given time. A member must be present with his guests but is allowed to provide his guests with an access code for entrance. Our employees have the information on daily guest codes and will deliver them upon request.
A member is responsible for his guests, their behavior, compliance with house rules, damages they may cause, and payment for purchases. The minimum age of guests is 25 years. Members and their guests are not allowed in after closing.
Although Kjarval focuses on the needs of adults, children are welcome accompanied by guardians until 6 PM. Members are responsible for the children they bring to Kjarval and must consider the circumstances, the needs of other guests, their right to privacy, etc.
Having creativity as a critical value, our members can express themselves through clothing. As long as you're clean and tidy, you're welcome to dress the way you want.
If you want to fit in, our clientele prefers business or smart casual clothing.
Dress codes may apply at special events.
Our members and their guests are entitled to privacy, and customers must show each other mutual respect. We expect a positive attitude and general courtesy from our staff and guests. Photography is not allowed, and we expect all guests to refrain from mentioning the presence of individuals at Kjarval on social media, in discussion threads, or when in contact with the media.
We don't tolerate harassment of any kind, threats, or harassment. It may lead to immediate expulsion, whether directed at staff or guests. Such conduct may also be the reason for the termination of the agreement on membership in Vinnustofa Kjarval.
To ensure a relaxed atmosphere, members and visitors should talk quietly on the phone and minimise the nuisance caused by telephones, e.g., keeping them in silent mode. Video calls should only take place in designated areas. Members and their guests should use headphones when playing music or other sounds from computers and telephones, as others should not be disturbed.
Cameras and other recorders are not permitted at Kjarval without special permission, including streaming from smartphones or laptops for distribution on social media. Kjarval is entitled to stop such broadcasting and take appropriate measures if members distribute images or recordings made without permission. Photography and film shoots for commercial and PR purposes is not permitted. Filming and photography in private events must be approved and scheduled in advance.
The management and employees of Kjarval treat all issues related to customers and their guests, their presence on-site, meetings, business, words, and deeds as confidential.
No member, guest, or employee may buy, consume, own, sell or otherwise distribute illegal drugs at Kjarval. If exposed, the person in question will immediately be asked to leave the place. Such incidents may also cause termination of membership.
No one should buy, sell or use any illegal or stolen goods at Kjarval. If we discover such goods, they will be confiscated and handed over to the police.
Members and their guests cannot bring food and drink for consumption to Kjarval, as refreshments are for sale on site. The same applies to refreshments in private events, which must be purchased from Kjarval but not from a third party without the mediation of Kjarval.
Kjarval organizes meetings and events of various kinds. In general, such events are neither photographed nor recorded. Still, in some cases, it is done for promotional purposes, e.g., for social media or other marketing material. By participating in filmed events, members and their guests permit Kjarval to publish footage where they can be seen and waive their right to payment for such publications.
We want all members and their guests to enjoy the facilities available at Vinnustofa Kjarval. We striveto ensure the safety of everyone on site, e.g. by meeting official health and safety requirements, finishing furniture, products and accessories, cables, etc. appropriately. We encourage special care on the balcony, not least when handling beverages that could cause damage and damage if they fell off the balcony.
If a member or guest is injured or has an accident of any kind in our area, we ask that the person inquestion notify the employee as soon as possible so that Vinnustofa Kjarval can respond as appropriate.
Cardholders can bring small dogs with them to Vinnustofa Kjarval, but not other animals. The owner is responsible for his dog, and he must consider other guests, e.g., allergies and fear of dogs. Dogs should always be on a leash and on the floor, not on sofas or chairs.
Smoking is prohibited indoors, including electric smoking. Smoking is allowed on the balcony, but smokers should consider others and avoid smoking when requested. We want smokers to keep smoking areas clean and dispose of cigarette butts properly.
We reserve the right to restrict or prohibit smoking in outdoor areas according to the needs and circumstances of each time.
Kjarval may respond if a member or guest damages Kjarval's reputation with inappropriate conduct.
Such conduct may involve but is not limited to improper, violent, or abusive behavior, threats, or disclosure of information about customers and their visitors. Penalties for this may include expulsion from Kjarval and termination of the membership. Anyone who intentionally removes, damages, or destroys the property of Kjarval, cardholder, or other guests must fully compensate for the damage.
Members and their guests bring valuables to Kjarval at their own risk. Items that are lost or damaged are therefore not the responsibility of Kjarval, neither computers, smartphones, other equipment,jewelry, clothing, other accessories, etc. Staff, of course, assists in searching for lost valuables, using all available means.
Disputes on the meaning/interpretation of these rules are referred to the Kjarval Advisory Board, which advises on Kjarval affairs.
Membership contracts are valid for 12 months unless otherwise specified. After that, contracts are automatically renewed, and the monthly fee is adjusted to the consumer price index.
Kjarval can change the terms/house rules if necessary. Changes are announced in an e-newsletter, so they are clear to everyone at any given time.
